Executive Assistant & Office Manager
Lyrebird Health is transforming the quality and accessibility of healthcare by automating clinicians' most time-consuming tasks. Used in General Practice, Allied Health, and Specialist clinics, Lyrebird saves clinicians an average of 2 hours per day — enabling a level of care that was previously impossible.
We’re growing fast, and we’re looking for an exceptional Executive Assistant & Office Manager to help us scale with clarity, focus, and momentum. This is not just an admin role — if you love bringing structure to chaos, thrive in fast-moving environments, and take pride in helping others operate at their best, we’d love to meet you.
As our Executive Assistant & Office Manager, you’ll be a trusted partner to our CEO and the heartbeat of our operations — ensuring priorities stay clear, decisions move forward, and the business runs smoothly at every level.
Act as a trusted right hand to the CEO — manage time, priorities, and information flow to stay focused on what matters most
Own executive admin — including calendar management, travel, expenses, inbox triage, and meeting preparation
Create structure through lightweight rituals — such as weekly reviews, planning dashboards, and meeting briefs
Proactively remove friction — ensuring the CEO has the context and rhythm needed to operate effectively
Handle sensitive matters with discretion — navigating high-stakes topics with sound judgment
Office & Operations Management
Support business operations — assist the COO and Head of Finance with admin workflows like onboarding, offboarding contracts and expenses
Run day-to-day office operations — manage vendors, supplies, facilities, and ensure the Cremorne office runs smoothly
Coordinate internal events and rituals — including offsites, team celebrations, and small moments that shape culture
Improve internal processes — spot inefficiencies and help us scale through simple, effective systems
Culture & Team Support
Be a positive, grounding force within the team — approachable, dependable, and calm under pressure
Support the team with care and consistency — from logistics and rituals to making the office a place people want to be
Create an environment where people thrive — ensuring the team feels supported, connected, and able to do their best work
You’re proactive, calm under pressure, and thrive in environments where no two days are the same. You’re known for your ability to bring structure to chaos — juggling competing priorities, spotting what needs doing, and getting it done without being asked.
You take pride in helping others succeed, whether that’s enabling a CEO to lead with focus or creating the systems that help a team run smoothly. You’re detail-oriented, emotionally intelligent, and take ownership from start to finish. You don’t wait to be told — you see what’s missing and you make it better.
Strong judgement and prioritisation skills — you know what matters, act decisively, and help others stay focused
Proactive problem-solving mindset — you anticipate needs, take ownership, and step in before things break
Execution and follow-through — you juggle multiple priorities, work autonomously, and get things done without micromanagement
Clear, confident communication — you write and speak with clarity, and keep information flowing smoothly
Strong relationship management — you're comfortable working with senior leaders, cross-functional teams, and external partners
Organised and detail-oriented — you bring calm, structure, and systems to fast-moving environments
Tech comfort — you’re quick to pick up new tools (e.g. G Suite, Slack, Notion) and use them to drive efficiency
Positive and people-first — you care deeply about the mission and the team, and bring energy and warmth to your work
We care more about your mindset and ability to get things done than a specific background.
That said, the ideal candidate will have:
Prior experience as an Executive Assistant, Office Manager, or in a senior operations role
Experience supporting a CEO, founder, or executive team
Exposure to fast-paced, high-growth environments (startups, scale-ups, or similar)
Confidence managing sensitive information and high-stakes decisions with discretion and sound judgment
Proficiency with technology and automation tools to optimise workflows.
High-Impact Role: You’ll shape how our CEO and leadership team operate and scale
A Mission That Matters: We’re building something that makes a real difference in healthcare.
Fast-Paced & Exciting Environment: No two days are the same, and you’ll constantly be solving new challenges.
Ownership & Autonomy: We trust you to get things done in the best way possible.
A Brilliant Team: You’ll work alongside smart, driven, and mission-aligned people who care deeply about what we’re building.
This is not just another EA & Office Manager job.
If you’re someone who thrives on making things run smoothly, solving problems before they arise, and keeping leadership focused on what truly matters, we want to meet you.
We're transforming the future of healthcare:
All that's missing is you.
